Managing your own 360° appraisal
Running your own 360° appraisal with RMS
is simple – you control
everything online through this website. At any stage during the process
we are here to help if you need us to.
The basic steps in the process are:
- obtain a license to use our 360° online assessment system
- create your 360° appraisal feedback form
- specify the participants in the 360° appraisal
- use our system to collect the feedback and create the 360° appraisal
reports
- make the 360° appraisal report available to the person
receiving the feedback
To complete a successful 360° appraisal using this website, you will usually
need to complete the steps 1 through 5. You may need to vary the steps
slightly for your specific 360° appraisal project. We
can provide full advice on your best options.
Once the 360° appraisal project is complete, you can then repeat the
process for new sets of staff or set up a completely new project for
a different area of your business.
Step 1 – Licensing and setting up your 360° online assessment project
- First, you need to buy a licence to collect feedback for a specified
number of staff. Your licence should allow for the maximum number of
participants that will be receiving 360° appraisal feedback.
We will then give you your own 360° appraisal project
area with its own web address so you can start to set up and run your
own 360° appraisal project.
- When your 360° appraisal project is initiated, we
will give you an Administrator password. This will allow you to enter
the site and set up all aspects of the project, including editing
the contents of the standard emails to make the project specific to
your organisation.
Step 2 – Creating your 360° assessment form
At this stage of the
process, you create the 360° appraisal form
like the one in our example [link to example form page], that will
be used to collect the 360° assessment feedback.
- Create your 360° assessment form by choosing competence headings and
behaviours, rating scales and reporting relationships. If you already
have a form designed this can just be copied on to the website. Refer
to designing your 360° assessment form for more information.
- Finalise your 360° assessment form by adding appropriate comment questions,
such as: “What are this individual's key strengths/development
areas?”
When your form is completed, you can start setting up who is to receive
feedback and who is to provide the feedback.
Step 3 – Specifying
the participants in your 360° appraisal
- First, add the names and email addresses of the participants – those
staff who are to receive feedback.
- You can now launch the 360° appraisal project. Our
360° appraisal system will automatically send an email to each participant.
The email sent to participating staff contains instructions and a
clickable link to your project website and a password. When the participants
click on the link and enter their password they will be asked to specify
which staff will be providing feedback for them. We call this the "nomination
phase".
Step 4 – Collecting feedback
- Our 360° appraisal system will automatically send an email to all the
staff nominated to give their feedback. The email will contain instructions,
a clickable link and a password. When they click on the link and enter
their password they will be presented with the name(s) of the staff
they must provide feedback for.
- Staff will then use the online form to provide feedback for the participants.
They will enter ratings and comments against the behaviours set up on
the form.
- The administrator can log on to the website and monitor who has completed
the 360° appraisal forms. Automatic email reminder messages
can then be sent to those who are late completing their feedback.
Both the project administrator and each participant can monitor the progress
of each of their nominated staff using a simple, online report.
Step
5 – Making the reports available
- When all the online forms have been completed, the participant can
go onto the website, enter their password, and access their appraisal
reports. Reports are designed to present feedback from different perspectives
so that the individual receiving the feedback receives a rounded view.
- Participants review the full range of reports and identify their key
strengths and development areas. If required, RMS can print off a
bound, colour report summary for each individual.
Each report can be shown as a table and/or graphics. Participants
can print or save reports that are of key interest to them.
- Each participant reviews their key findings with their line manager,
course tutor or external consultant to create a development plan.
